Privacy Policy

This policy explains what information we collect through the ConciergeFlow website (conciergeflow.ai), how we use it, and the choices you have. It's written to be read, not skimmed past — if anything is unclear, ask us at hello@conciergeflow.ai.

ConciergeFlow is operated by Think X Design Media, based on Vancouver Island, British Columbia, Canada. This policy covers the marketing website and its waitlist and contact forms. The ConciergeFlow mobile app and partner platform will carry their own privacy policy when they launch, covering accounts, bookings, and payments.

What we collect

• Waitlist form — your email address and the role you select (client, partner, or vendor).
• Contact form — your name, email address, enquiry type, and message.
• Analytics — we use Google Analytics 4 to understand how people use the site: pages visited, approximate location, device and browser type. This relies on cookies and similar identifiers.
• Server logs — like nearly every website, our server records the IP address, requested page, and browser of each visit, kept for routine security and troubleshooting.
• Browser storage — if you join the waitlist, we save your email and role in your own browser's local storage so the form remembers you on return visits. This stays on your device and is not a tracking mechanism.

How we use it

Form submissions are delivered to us by email so we can respond to enquiries and contact you about ConciergeFlow's launch — that's what the waitlist is for. Analytics help us understand what's working on the site. We don't sell personal information, and we don't use your information for anything unrelated to ConciergeFlow.

Who handles it on our behalf

• Resend delivers form submissions to our inbox as transactional email.
• Google Analytics (Google LLC) processes usage data as described above.
• DigitalOcean hosts the website and its server logs.

Each of these providers processes data under its own privacy terms, and only as needed to provide its service to us. Some are located outside Canada (notably the United States), which means your information may be processed there.

How long we keep it

Form submissions live in our email until they're no longer needed — waitlist entries are kept until launch outreach is complete or you ask to be removed. Server logs rotate on a short schedule. Analytics data is retained per our Google Analytics settings.

Your choices and rights

• Ask us what we hold about you, ask us to correct it, or ask us to delete it — email hello@conciergeflow.ai and we'll act on it.
• Leave the waitlist at any time by asking — there's nothing to unsubscribe from yet beyond that list.
• Block or clear cookies in your browser, or use Google's Analytics opt-out to stop analytics collection.

We operate under Canadian privacy law (PIPEDA and BC's PIPA). If you're in a region with additional rights — such as the EU or UK — we'll honour reasonable requests consistent with those rules.

Children

This website isn't directed at children, and we don't knowingly collect information from anyone under 16. If you believe a child has submitted information to us, contact us and we'll delete it.

Changes to this policy

If this policy changes, we'll update this page and the date at the top. Material changes that affect waitlist members will be noted when we next contact you.
